About the Role
We are seeking a professional and detail-oriented Accounts Officer to join our Finance & Administration team. Reporting to the Company Accountant, you will support daily operational and office activities, manage Accounts Receivable, Accounts Payable, finance duties, and general office tasks while maintaining accuracy and compliance.
Key Responsibilities
Accounts Receivable
Prepare daily sales invoices from completed packing slips.
Ensure timely processing of customer payments and maintain accurate accounts.
Assist with credit control, collections, and overdue account follow-ups.
Prepare credit notes and reconcile customer accounts.
Process credit applications and trade references.
Support internal personnel in understanding credit policies and procedures.
Escalate delinquent or problem accounts to the Company Accountant.
Produce accurate month-end reporting.
Accounts Payable
Draft supplier account applications for approval and maintain supplier records.
Prepare and process supplier invoices, employee expenses, and company credit card expenditures.
Perform 3-way matching between purchase orders, delivery dockets, and invoices.
Monitor and resolve discrepancies between purchase orders and invoices.
Process weekly payments, month-end journals, accruals, and reconciliations.
Liaise with suppliers and internal teams to resolve account issues.
Finance Duties
Maintain and reconcile bank and credit card accounts daily and at period-end.
Assist the accountant with account reconciliations and reporting.
Prepare pro forma invoices for exporting transactions.
General Office Duties
Manage stationery, office supplies, and kitchen rostering.
Provide administrative support and contribute to smooth daily office operations.
Skills & Attributes
Excellent written and verbal communication.
High attention to detail and accuracy.
Strong time management and ability to handle a high workload.
Intermediate Microsoft Excel skills.
Ability to work independently and collaboratively in a team.
Positive, flexible, and proactive approach to work.
Qualifications & Experience
Secondary qualification or certificate in a relevant discipline - REQUIRED.
Minimum 3 years of accounts experience, ideally in environmental products, services, or industrial consumables.
Sound written and spoken English skills - REQUIRED.
