Are you a senior Executive Assistant who loves business, not just admin?

This is not a “traditional” EA role. It’s a genuine business partnership supporting a high-performing, systems-driven MD who values initiative, precision and clear communication. You’ll work closely together (predominantly in Murarrie, with some days in the CBD), taking ownership of priorities, following through on actions and ensuring the MD’s time and focus stay where they’re needed most.
The Opportunity
You’ll be across everything from executive coordination and meeting management to reporting and project follow-up. It’s a hands-on role where you’ll bring structure to moving parts - reviewing information, following up actions and ensuring the MD’s priorities are delivered on time and with accuracy.
You’ll be the link between the MD and senior leaders keeping projects, people and reporting aligned across multiple business divisions. Expect a balance of strategic oversight and hands-on execution, where you’re just as comfortable producing reports or following up project actions as you are sitting in on executive discussions.
You’ll also play a key role within the broader admin and leadership team - collaborating, sharing knowledge and helping create a supportive, high-performing culture where everyone succeeds together.
Alongside the business responsibilities, you’ll also provide personal support - managing insurances, renewals, travel and other administrative matters that keep life running smoothly behind the scenes, all handled with the highest level of confidentiality and professionalism.
What You’ll Be Doing
- Partner closely with the MD across multiple divisions to keep operations, reporting and communication on track.
- Manage the MD’s inbox, diary and travel arrangements with precision, ensuring priorities are clear and time is used effectively.
- Coordinate management and board meetings - prepare papers, document actions and drive follow-up.
- Work with finance and project teams to review P&Ls and budgets, ensuring information is accurate, complete and aligned.
- Use your systems know-how to streamline processes.
- Support strategic projects across construction, service and agribusiness ensuring plans turn into measurable progress.
- Liaise confidently with senior managers, project teams and external stakeholders.
- Manage competing priorities with calm focus, ensuring nothing falls through the cracks.
- Oversee selected personal administration including travel, insurances and property documentation with complete discretion.
What You’ll Bring
- Proven experience as an EA supporting a senior executive or business owner – preferably in the construction or closely related project-driven industry.
- Strong financial and business acumen - able to interpret budgets, P&Ls and performance reports.
- Advanced Microsoft 365 skills (especially Excel — pivot tables, v-lookups, data analysis).
- Tech-savvy and process-oriented.
- The confidence to plan, prioritise and hold others accountable.
- Commercial maturity, loyalty and sound judgement.
- A proactive, calm and unflappable personality - someone who takes ownership and gets things done.
- A collaborative, team-focused approach - willing to support and guide others to achieve shared outcomes.
