McInnes Earthmoving (based in Heyfield - Gippsland) is a family business that has, over the last 70 years, developed into an industry-leading civil contractor completing road construction, rail and road bridges and culverts, subdivision, stormwater drainage, forestry and bulk earthworks projects.

The role:
McInnes is seeking a friendly and diligent team player to fulfill the Office Administrator position. Initially, as part of this role, the successful candidate will manage our Human Resources while our HR Manager is on maternity leave (approx. 6 months). Then the role will shift to consist of Office Administrator duties.
This permanent full-time position is located in the Heyfield office, 40 hours per week, Monday to Friday.
This role is the perfect opportunity for someone who loves a dynamic working environment, has administration experience in the realms of HR and WHS or is eager to learn.
Duties will include:
Dealing with correspondence, emails, phone calls, portals, and day-to-day administrative support.
Completing payroll weekly, coordination of leave requests and employee timesheets.
Utilising Xero and timesheet systems to complete necessary reporting.
Organising & booking meetings, transport and accommodation.
Assist with administrative duties relating to plant and equipment, including documentation for new equipment, maintenance records on our WHS system, uploading documents to client portals etc.
General office administration, purchasing, documentation & form creation, note taking, registers, and meeting minutes.
Assist where necessary with tender submissions and organising project folders.
Assist HSEQ Manager with Workplace Health and Safety duties, including creation of SWMS, completing plant risk assessments, site inductions, pre-start meetings and site safety inspections.
HR specific tasks;
Recruitment, onboarding and offboarding of employees & subcontractors including advertising, creating contracts, ensuring all documentation and inductions have been completed.
Ensuring all employee & subcontractor information remains up to date and compliant (i.e. expiring inductions or licences and qualifications).
Identifying training requirements, organising and booking training to be completed.
Dealing with employee incidents and issues in consultation with our HSEQ Manager and Management Team.
Your qualities & experience:
Previous experience in a similar administration position (if possible, with HR/WHS background)
Proactive attitude and initiative.
Exceptional organisational, communication and writing skills.
High-level of attention to detail.
Ability to work accurately and efficiently within required timeframes.
High-level knowledge of Microsoft Office programs, including Word, Outlook, and Excel.
Demonstrated ability to work in a team environment, but also self-managing.
Current Victorian Driver’s Licence.
Experience with Xero is desirable.
