Reporting and Accountability
Reports to: Operations Director
Direct Reports: None – provides task-based guidance to operations staff, volunteers and contractors as required.

Travel: Occasional interstate travel may be required for internal meetings, training or events.
Location: Brisbane office (CBD) preferred, with hybrid and remote working options available.
Hours: Full-time (38 hours per week)
Salary: AMCS Salary Classification Guide Level 4, aligned with the Social, Community, Home Care and Disability Services Industry Award 2010. Salary circa $95,000-$100,000 per annum, plus superannuation.
Contract Period: Permanent, ongoing role.
The Role
The Finance & Operations Senior Coordinator plays a key role in ensuring AMCS operates efficiently and effectively across all locations.
Reporting to the Operations Director, the position coordinates finance administration, procurement, office logistics, compliance and work health and safety (WHS) processes that underpin AMCS’ organisational performance.
Working closely with our external accounting and payroll provider, this role ensures accurate financial processing and reporting, supports procurement and compliance documentation, and maintains smooth day-to-day operations across the organisation.
Key Responsibilities
Finance Administration
Process accounts payable and receivable, reimbursements and credit-card reconciliations.
Coordinate payroll inputs and approvals with the external payroll provider.
Maintain financial records and assist with monthly reporting and grant acquittals.
Monitor budgets and provide variance updates to the Operations Director.
Liaise with brokers to maintain insurance coverage and renewals.
Operations and Logistics Coordination
Manage office services, supplies and asset registers across AMCS sites.
Coordinate supplier contracts, facilities and travel arrangements.
Support national meetings and events through effective logistics and communication.
Procurement and Compliance
Coordinate procurement activities, quotes and purchase orders in line with policy.
Maintain contract, insurance and licence registers and track key dates.
Assist with ACNC and fundraising licence reporting.
Work Health & Safety (WHS)
Maintain WHS documentation, risk registers and incident reports.
Coordinate inspections, safety briefings and emergency preparedness.
Support first aid and return-to-work coordination.
Event and Meeting Support
Provide administrative and financial support for meetings and events.
Arrange venues, travel and catering, and ensure activities are delivered within budget.
Systems and Process Improvement
Review and refine operational processes for efficiency and accuracy.
Suggest and implement improvements in consultation with the Operations Director.
Maintain consistent document control and data management practices.

Selection Criteria
Finance and Operations Experience
Demonstrated experience in financial administration, accounts processing and payroll coordination. A qualification in Accounting, Operations, Business Administration or related discipline will be highly regarded.
Organisational and Coordination Skills
Proven ability to manage competing priorities, coordinate logistics and meet deadlines.
Compliance and Governance
Knowledge of procurement, WHS and policy compliance requirements.
Systems and Technology
Proficiency in Microsoft Office 365 and familiarity with accounting and HR systems (e.g. Xero, Employment Hero).
Communication and Collaboration
Strong interpersonal and written communication skills with the ability to build effective relationships across teams.
