We are seeking a highly motivated and customer-oriented individual to join our small team as in supporting the internal Sales function. This role will be responsible for supporting our operational and admin team by managing customer inquiries, preparing quotations, creating sales invoices, and ensuring excellent customer service. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to work well in a fast-paced environment.
Core duties include:
Taking sales related phone calls and extracting customer requirements/needs to formalise clear quotation.
Creating and managing Customer support tickets
Preparation of quotations for stocked & Non-Stocked items in response to customer requests via telephone, email or as directed by Managing Director of Sales
Following up customers regarding provided quote
Supplying customers with technical data, certificates and other documentation requested (or sourcing this data from suppliers or following up with Managing Director of Sales)
Management of Back-Orders and communicating with customers regarding Back-Orders
Liaising with Accounts for preparation of invoices
Raising and emailing of invoices to customers
Minimum Skills
Must be an effective and strong communicator skills, verbally, written & personal
Ability to communicate with management if mistakes are made, if tasks are not understood and in regards to managing priorities
Ability to identify problems and problem solve or seek guidance/assistance to solve problem
Must demonstrate competence in Microsoft Office Package
Must demonstrate competence in accounting software Xero or SAP
Ability to take responsibility and ownership of actions, decisions and work
Must take initiative in seeking out tasks & identifying areas for improvement and or efficiencies
Have high levels of enthusiasm and be self-motivated (must be able to work un-supervised and without being micro-managed)
Be tolerant, flexible and adaptable to continuing change and able to shift focus quickly if required
Must be able to work under pressure and with time constraints
