About the role

Alkimos Plumbing and Gas is seeking a skilled Service Coordinator to join our team in Yanchep, WA. As a Service Coordinator, you will play a pivotal role in ensuring the efficient planning and coordination of our plumbing and gas projects. This full-time position will have you working closely with our Plumbing Supervisor and Office Manager to optimise schedules, allocate resources, and ensure timely response to enquiries and delivery of our services, along with accounts administration.

What you'll be doing

Answer phone enquiries and create new jobs in job software, ServiceM8

Monitor and schedule jobs from the unscheduled queue

Manage and update live job schedules in real-time

Action and clear emails

Convert enquiries/notes to jobs in ServiceM8 inbox

Schedule queued jobs based on notes

Follow up on quoted jobs

Clear all voicemails within 30 minutes of receipt

Track and manage parts ordering and stock status for scheduled jobs

Maintain registers in Google Drive

Approve deposit invoices

Review notes, send and approve invoices

Respond to reviews/ customer queries

Liaise with Plumbing lead for technical advice

Keep ServiceM8 tasks clear and up-to-date

Assist with general administrative duties as required

What we're looking for

Minimum 2 years of experience as a Scheduling Coordinator or Project Administrator

Experience with invoicing, work order processing, and basic bookkeeping tasks

Strong working knowledge of scheduling software, such as ServiceM8

Excellent communication and interpersonal skills to effectively liaise with various stakeholders

Ability to work in a fast-paced, dynamic environment and prioritise multiple tasks

Strong analytical and problem-solving skills to identify and resolve scheduling challenges

Familiarity with scheduling best practices

Understanding of construction/trades industry workflows and terminology preferred

Available between the hours of 7AM - 3PM Monday to Friday, no flexi time.
