About the Roles:
We're looking for two energetic Auction Coordinators who can keep the flow of treasures into and out of our auction rooms running like clockwork. ! Role 1: Auction Coordinator, Weekly Estates Auction Series
Role 2: Client Services Coordinator, Back of House
Key Responsibilities:
Both Roles : Auction Floor Management:
Play your role in the Auction team to ensure the smooth and efficient flow of all auction activities.
Provide on-the-floor direction and supervision whilst personally participating in operations tasks
Support other areas as needed to achieve overall business goals
Ensure the safety and security of auction lots and team members.
Maintain a clean, tidy and safe work environment
Act as Duty Manager (responsible person on site) on nominated days as required, including ensuring building security and acting as an escalation point for staff or customer issues.
Both Roles : Team Leadership & Management:
Lead, supervise, and mentor a small team
Plan, schedule, and roster work activities to ensure efficient and timely fulfillment of customer orders.
Conduct performance reviews and provide regular feedback to team members.
Both Roles : Financial Management:
Monitor and control production costs, including labor, materials, and equipment.
Contribute to the overall profitability of the auction department.
Role 1: Auction Lead
Lead the strategy and execution for the Weekly Estates auction series.
Coordinate all aspects of the production to timeframes and quality standards
Innovate and grow the series by continually adapting to changing customer needs
Role 2: Outgoing Buyer purchases:
Coordinate Click'N'Collect at the door - Build and maintain strong relationships with regular buyers.
Provide delivery and postage quotes
Package and send items ordered for postage, and coordinate with Australia Post
Prepare items for courier or truck despatch
Maintain robust inventory control and record-keeping systems to ensure accurate tracking of all items
Role 2: Incoming Consignment Management:
Manage incoming consignments, including the checking and receipting of items for sale from vendors and the coordination of specialist valuers to assess arriving goods.
Reference consignment terms and conditions that have been agreed with clients and ensure these arrangements are fulfilled.
To be right for these roles, you will need to have these Skills, Experience and Qualifications:
A personal passion and deep interest in the circular economy, second-hand goods, auction or categories of products typically managed at Abbeys.
At least 3-5 years of experience in a high-volume, bulky goods retail environment, including a minimum of 2 years leading teams with responsibility for stock management and/or customer service.
Strong leadership and supervisory skills with the ability to motivate and manage a team.
Experience in planning work and rostering team members in an environment that includes both regular planned activity, combined with the need to flexibly manage schedule changes and unexpected events
Excellent organizational and time-management skills with the ability to meet deadlines in a high-activity environment.
Excellent communication and interpersonal skills, especially a warm and smiling customer approach
Physical fitness and the ability to lift up to 25kg, with team assistance for heavier items, plus handling of bulky and fragile goods without damage.
Strong attention to detail and a commitment to quality.
Well-developed computer skills, quick and accurate keyboard use (minimum 40 words per minute), and the ability to learn new systems
Australian citizenship, permanent residency, or valid work visa with appropriate work rights
Other Attributes that are desirable but not essential are:
Knowledge and experience of Auctions, online auction platforms
Specific product experience in vintage or antique goods.
Tertiary level qualifications in retail management or related discipline (at least Certificate or Diploma).
