About the Role
We’re looking for a motivated and organised Office & Marketing Administrator to join our leadership support team. This role is perfect for someone who thrives in a dynamic retail environment and enjoys variety in their work.
You’ll be responsible for assisting with the day-to-day operations of the business, including preparing daily and weekly reports, managing cash flow and reconciliations, and coordinating administrative processes. In addition, you’ll take the lead in planning and implementing our marketing strategy by helping to promote our services, community initiatives, and in-store promotions.
This position reports directly to the business owners and will work closely with them to support the ongoing success and growth of our store.
Key Responsibilities
Office Administration and Financial Management
Prepare and distribute daily sales and budget reports
Reconcile tills, POS reports, floats, and bank deposits
Manage invoices, payments, and petty cash reconciliation
Monitor business bank accounts and maintain financial records
Handle debtors, customer accounts, and follow-up payments
Complete monthly reporting and compliance documentation
Maintain tidy office operations and assist staff with administrative queries
Communicate with suppliers, technicians, and external partners as needed
Marketing and Communications
Develop and implement marketing strategies for the store
Manage VIP loyalty program communications
Coordinate and create content for social media (Facebook, Instagram)
Assist with the bi-monthly Nightingales Newsletter
Liaise with pharmacy, newsagency, naturopathy, and beauty teams for promotional content
Plan marketing around health awareness events and in-store promotions
Support and market special events such as Gala Day
Store Standards, Safety and Confidentiality
Maintain a professional and tidy store image
Answer phones courteously and follow customer service standards
Comply with workplace health, safety, and security procedures
Protect confidentiality of customer, staff, and business information
Support general housekeeping and Quality Care requirements
Undertake other duties as directed by management
About You
Strong attention to detail and excellent organisational skills
Proficient in Microsoft Office (especially Excel and Word)
Confident communicator, both written and verbal
Experience in retail administration, marketing, or similar role preferred
Creative thinker with an interest in community engagement and local marketing
