Job location

This position is located at the Community Forensic Mental Health Service (CFMHS) in Clifton Hill, 15 minutes from Melbourne’s city centre. CFMHS is a specialist state-wide agency that works with individuals who have a serious mental health illness and have offended or are at risk of offending. Our CFMHS Service is expanding our services to Regional Victoria with Barwon and Hume services established.

About the Role:

The Administrative Assistant – Receptionist is responsible for providing high level administrative support to the clinical team, senior management and clients of the Community Forensic Mental Health Service, in addition to a professional and confidential reception service to the clients.

Duties:

  • General Correspondence.
  • Maintain an efficient office information filing system.
  • Monitor appointments for clients and clinicians.
  • Enter patient and other data onto information systems.
  • Maintain databases, PMI and CMI/Rapid.
  • Co-ordinate the flow of incoming mail and register outgoing mail.
  • Maintain fax emails and faxes, assist users, send and retrieve faxes.
  • Assist in the culling and upkeep of medical records
  • Assist in the archiving of corporate records.

About You:

  • Appropriate experience and demonstrated ability to provide a professional and confidential reception service, including the use of a PABX telephone system.
  • Desirable experience in learning and working with different information systems
  • Intermediate word processing, spread sheet and Microsoft Outlook (email and calendar) skills
  • Excellent communication and interpersonal skills and the ability to maintain confidentiality.
  • Ability to deal with a challenging client group in a non-judgemental manner.

Forensicare (Victorian Institute of Forensic Mental Health) is the state-wide specialist provider of forensic mental health services in Victoria. Forensicare is the only agency in Victoria that provides clinical forensic mental health services which span all components of the mental health and criminal justice sectors – giving Forensicare a unique perspective on mental health and public safety issues. It is able to provide specialist forensic mental health services tailored to meet the specific needs of both sectors.

We provide forensic mental health services for people:

with a serious mental illness in the criminal justice system

at risk of offending who pose a risk to themselves or others

referred from the general mental health system for specialist advice, support and/or treatment.

Forensicare’s primary focus is the provision of clinical services within a recovery framework. These services include the effective assessment, treatment and management of forensic patients, prisoners and clients.
