Job Summary – Admin Assistant (Full-Time, Hybrid)

We’re looking for a highly organised and proactive Admin Assistant to join our dynamic team in a full time hybrid role. Working across multiple brands in the aesthetics industry, you’ll be the front-line support for our clients and internal operations.

This position is perfect for someone who thrives in a high trust environment, brings energy and professionalism to everything they do, and is ready to grow with a business that’s expanding fast. You'll work from our East Melbourne office part of the week and from home, with the role becoming full time onsite in East Keilor from early 2026.

Job Description – Your Role and Responsibilities

Key Responsibilities:

Be the first point of contact for client and customer enquiries (phone and email)

Provide high-level admin support across skincare, education, and device teams

Maintain calendars, inboxes, orders, and internal schedules

Manage CRM data and client workflows in HubSpot (or similar platform)

Support stock orders, event logistics, onboarding, and reporting

Keep internal systems and documentation up to date and running smoothly

What You’ll Bring:

Strong admin experience (2–3+ years) and exceptional organisational skills

Excellent communication, both written and verbal

Experience with HubSpot or another CRM platform (essential or willing to learn)

Confidence in customer facing interactions and professional phone manner

High attention to detail, time management, and problem solving ability

Ability to juggle tasks and remain calm under pressure

A background in the aesthetics or beauty industry is highly regarded

A proactive, adaptable, and team oriented attitude

Location & Hours

Full-time role (Monday to Friday)

Hybrid: Work from home + 2–3 days in our East Melbourne office

From early 2026, the role will move to East Keilor
