About the role
Reporting to the Office Manager, the Administration and Media Assistant will be the first point of contact for our clients, visitors, and staff. Your role is crucial in creating a welcoming and professional first point of contact for individuals supported by Focus ACT, their families, and the broader community. Based primarily at the front desk, this role supports the day-to-day operations of the service by managing reception duties, coordinating enquiries, and ensuring effective communication flows across the teams. In addition to front-of-house responsibilities, the role supports media activities, including updating social media channels, assisting with website content, and preparing internal and external communications.
Key Responsibilities
Maintains a welcoming, values-driven reception and media presence.
Oversees daily reception tasks: calls, visitors, mail, and appointments.
Provides admin support to service teams, ensuring accurate documentation.
Ensures compliance with Focus ACT's admin protocols.
Assists with social media and website content to support community engagement.
Collects and compiles data for reports, newsletters, and communications.
Supports basic finance tasks: petty cash, office supplies, and purchase requests.
Aids in invoice tracking and finance system data entry.
Handles participant payments and donations per cash handling procedures.
Manages the Focus ACT inbox, directing queries appropriately.
Job requirements:
Proven ability to work independently and collaboratively.
Reception and admin experience, with strong front-of-house skills.
Excellent communication and interpersonal skills, including respectful engagement with diverse groups.
Professional handling of confidential and sensitive information.
Skilled in Microsoft Office and digital tools (e.g. Canva, Mailchimp, social media).
Eligible for WWVP clearance including NDIS activities.
Willing to undergo a police check.
Previous experience in Reception, Administration or Customer Service would be an advantage.
