We’re looking for a hands-on Admin Allocator to support our Operations Manager and help keep the wheels turning smoothly across our fleet, operators, and hire projects. If you’re great at multitasking, enjoy problem-solving, and take pride in keeping things running efficiently — we want to hear from you!

About the Role

Based at our Yatala HQ, you’ll provide vital administrative and allocation support to ensure smooth day-to-day operations. You’ll work closely with the Operations Manager, assisting with equipment scheduling, job paperwork, hire coordination, and general office admin.

Key Responsibilities

Support the Operations Manager with scheduling and allocating APU’s fleet and operators.

Assist in managing on-hire and off-hire processes, including checklists, fuel and hour tracking, and condition reporting.

Enter and maintain accurate data in Simpro and company spreadsheets.

Prepare job packs, purchase orders, and internal reports.

Communicate with clients, drivers, and site teams to confirm job details and changes.

Assist with timesheets, invoicing, and document management.

Maintain organised records of plant, equipment, and operator availability.

Provide general administrative support to the wider operations team.

What We’re Looking For

Strong computer and data entry skills (Microsoft Office & Simpro experience highly regarded).

Great communication and teamwork skills.

Excellent attention to detail and organisational ability.

Ability to prioritise and manage multiple tasks under pressure.

Experience in admin, scheduling, or equipment hire (advantageous but not essential).

A motivated, positive, and reliable attitude.
