This is an exciting opportunity to join a dynamic and growing company in a critical customer-facing position.
As a Spare Parts Officer at based within their Port Melbourne facility, you'll play a vital role in delivering high-quality customer service and support to spare parts clients.
You will be responsible for the efficient processing of orders, enquiries, and requests using Salesforce, and will liaise daily with both internal departments and external customers and suppliers to ensure smooth operations and timely service delivery.
Key Responsibilities
•Provide expert advice and support on spare parts to customers.
•Maintain strong, professional customer relationships.
•Respond promptly to verbal and written customer enquiries.
•Assist in resolving complaints in collaboration with the Spare Parts Controller.
•Prepare and deliver accurate reports and quotes to customers.
•Prioritise customer orders to meet delivery deadlines.
Subject Matter Expertise
•Maintain up-to-date knowledge of products and parts.
•Process orders in line with pricing policies and communicate delays effectively.
•Collaborate with Purchasing and the Spare Parts Controller to meet market demands.
•Keep Sales Reps informed of customer updates and issues.
Administration
•Reconcile warranty spare parts with authorised service calls.
•Analyse and follow up on customer back-orders weekly.
•Manage ordering of non-stock/special items to meet timelines.
•Maintain and update pricing structures as required.
•Ensure all documentation and order processing is accurate and complete.
•Process invoices, credits, and stock returns in a timely manner.
What You'll Bring
•Strong customer service and communication skills
•Experience using Salesforce or similar CRM/ERP systems (preferred)
•High attention to detail and ability to manage multiple tasks
•Problem-solving mindset with a customer-first approach
