This is the perfect role if you've gained some previous office experience (1-2 years) and would now like to take your career to the next level.

Working for this boutique sized but rapidly growing business, you'll be offered the opportunity to become part of the ‘close-knit work family' and develop your experience under the guidance of an exceptional Operations Manager who is a specialist in their field.

Whilst the workload is busy, there will be time for a few laughs and plenty of banter along the way. Therefore, if you are a confident communicator and like to interact with others then this environment will be the perfect match for you.

So what will the role entail...

  • Supporting the building consultants with the creation of fee proposals for clients, ensuring these are issued in a timely manner - many of these are templated however, as time goes on you'll gain further industry knowledge and be able to update and adjust them with ease.
  • Answering the main phone, taking messages and providing 5 star service (as the consultants mainly receive calls from mobiles, this will be light on).
  • Updating the database with accurate client information, remaining across active projects and immersing yourself in the nuts and bolts of the back end administration for the business.
  • Supporting with general invoicing and basic accounts work.
  • Ordering stock and consumables, including kitchen items and stationary.
  • Assisting with the coordination of office social activities (Friday drinks, ordering birthday cakes etc) and jumping into help with general support around company events such as the annual Christmas party/Melbourne Cup etc.
  • Working closely with, and being guided by, the Operations Manager - learning all of the back-end administration processes for the office.
  • Keeping the office tidy, overseeing the mail, scanning, filing and adhoc support that the consultants or senior management may need.
  • Anything else required to help promote the close-knit, cohesive team environment and wonderfully inclusive culture that they have consistently driven!

This is a rare role namely due to the interesting nature of the work, and the wonderful people you'll have the opportunity to support. You’ll pride yourself on your exceptional attention to detail (including accurate spelling and grammar) and document layout skills (all in Word). You'll also embrace new software and AI tools.

Intermediate to advanced Word and fast, accurate typing in order to make it through the workload will be required.
