THE COMPANY

We are a small family-owned business based in Murrarie. Looking for an experienced Office Manager/Administrator to join our team.

THE ROLE

Reporting to the Finance Manager, this role is responsible for providing senior administrative and accounting support to assist in the efficient operation of the Company in accordance with policies, procedures and regulatory requirements. The position holds key responsibility for the operational function of the office and the general administrative function. This position evolves continuously so the incumbent needs to be an all-rounder, adapt to changing priorities and work responsibilities.

Responsibilities may include but not limited to:

Accounts

· Prepare weekly payment sheet, facilitate weekly payment schedule

· Reconcile supplier invoices and statements

· Developing and maintaining relationships with supplier accounts departments

· Manage and support team members with data entry and day to day task management

· Project cost tracking and invoicing

· Manage weekly/monthly invoice generation and recording

· Managing bank payments and delegate administration tasks

· Check & Review Account Administration

· Credit/Debit Card – Management & Purchases

Administration & Office Management

· Maintaining files and records

· Maintain key supplier relationships for office requirements

· Maintain vendor records for suppliers and partners

· Asset Management – Vehicles, Toll Tags, Registrations

· Management of IT Accessories and Employee Allocations

· Key Contact point for IT, Hardware and Support

· Employee Travel and Accommodation Booking

· Events Coordination and Bookings – catering, lunches, events, birthdays

To be successful in this role, you would need to be able to display:

· Demonstratable capability to manage multiple tasks and deadlines

· Effective communication between stakeholders at all levels of the organization

· Effective listening skills and advanced written and verbal communication skills

· Aptitude in astute decision making and problem solving in a timely manner

· Ability to sufficiently navigate conventional IT platforms

· Unwavering commitment to maintaining confidentiality

· Excellent customer service, internally and externally

· Flexible and enjoy the administrative challenges of supporting teams

· Minimum 3 years’ experience in a similar role

· Experience working with accounting platforms

· Experience and knowledge of accounts payable and accounts receivable functions

· High Attention to detail is critical
