We are seeking an experienced Receptionist to join our dedicated team. This is a full-time, permanent position offering stability and the opportunity to make a meaningful impact.

About the Role

As the first point of contact for clients and referrers, you will provide professional and compassionate service while managing a broad range of administrative duties. This role requires prior experience in a psychology or allied health setting, with proficiency in Zanda practice management software highly regarded.

Key Responsibilities

Greet clients, families and visitors in a warm, professional manner

Manage incoming calls and emails, including sensitive and complex enquiries

Conduct client intake and triage, matching clients with the appropriate psychologist

Schedule and confirm appointments, maintain practitioner calendars and client records

Process payments, Medicare claims, NDIS and private health rebates

Generate accurate invoices, receipts and daily reconciliations

Monitor outstanding accounts and follow up professionally

Prepare forms, assessment agreements and documentation

Maintain a tidy, organised reception and office environment

Liaise with GPs, psychiatrists and other health professionals

Support the psychology team with administrative tasks

Ensure compliance with privacy and confidentiality requirements

About You

Essential

Minimum 2 years' experience in medical, psychology or allied health reception

Proficiency using practice management systems (experience with Zanda preferred)

High standard of professionalism and reliability

Handles sensitive information responsibly, adhering to privacy policies and maintaining strict confidentiality

Excellent communication and interpersonal skills

Strong organisational and time-management abilities

Competent in Microsoft Office and general computer systems

Ability to work independently and as part of a team

Experience processing Medicare and NDIS billing

Minimum 1 year of experience with Medicare and NDIS billing processes

Australian working rights without restriction

Desirable

Previous experience in a psychology practice

Understanding of NDIS/WorkCover processes and requirements

Other Requirements

Current National Police Check (or willingness to obtain)

Working With Children Check (NSW) (or willingness to obtain)

NDIS Worker Screening Check (or willingness to obtain)
