Bop till you Drop is a growing children's entertainment company that brings joy, creativity, and fun to families through live events, parties, and interactive experiences. Our team of talented entertainers and dedicated staff work together to create unforgettable memories every weekend. We're now looking for a highly organised, people-focused Office Manager to oversee our day-to-day operations and ensure everything runs smoothly behind the scenes.
About the Role
As our Office Manager, you will be the go-to person for managing operations, scheduling entertainers, handling customer escalations, and keeping the business on track. You'll collaborate closely with our customer service and performance teams to ensure every event is fully staffed, properly equipped, and delightfully executed.
Our full-time team consists of 5 full time employees and 2 casuals, all operating from our home-based office in Ryde. The entertainer contractor team is approximately 30 contractors in NSW, SA, WA and QLD.
This position requires working from our home-based office in Ryde and cannot be performed remotely.
This is a hands-on, high-responsibility role best suited for someone who thrives in a fast-paced, detail-oriented environment and enjoys being the person who "makes it all happen."
Key Responsibilities
Operations & Scheduling
Oversee weekly scheduling of entertainers for all events
Confirm staffing and logistics by mid-week for each weekend
Ensure entertainers are prepped with necessary equipment, props, and supplies
Anticipate gaps or changes in coverage and troubleshoot last-minute needs
Organise and coordinate all aspects of school holiday programs
Team Support
Serve as main point of contact for entertainers and contractors
Manage party supply orders, equipment, and general inventory
Keep communication flowing between entertainers and internal staff
Customer Experience
Assist with handling escalated customer issues or complaints
Collaborate with customer service team to create and review custom quotes
Ensure client needs and expectations are fully communicated to performers
Quality & Process Oversight
Track event outcomes, feedback, and team performance
Identify areas for efficiency or improvement in workflow
Keep the owner informed on team dynamics, coverage issues, and client concerns
Marketing & Business Development Support
Contribute ideas for social media campaigns, email marketing, and promotions
Help brainstorm ways to improve customer engagement and brand awareness
Support the owner in identifying and acting on business growth opportunities
While not a primary focus, an interest in marketing strategy is valued
Qualifications
3+ years in operations, office management, event coordination, or similar field
Operations experience may include operations management, office administration, event coordination, project management, team supervision, or customer service management
Excellent communication and organizational skills
Comfortable juggling multiple moving pieces at once
Calm under pressure, excellent problem-solving skills and solution focused attitude
Not essential, however familiarity with Servicem8, Xero, Mailchimp and Try Booking is advantageous
Bonus: experience in entertainment, performing arts or event management
Bonus: interest or experience in small business marketing or growth strategy
Must hold Australian permanent residency or equivalent work rights
