Service Advisor / Assistant Service Manager (Customer-Facing)
Reports To: Service Manager & Business Manager
Location: Westernport Automotive Services, Hastings
Type: Full-Time
About The Role
We are seeking a motivated, customer-focused Service Advisor/Assistant Service Manager with mechanical experience to join our expanding team.
This role serves as the primary point of contact for customers. You'll be managing bookings, vehicle handovers, and payments, while drawing on your mechanical knowledge to communicate confidently about repairs and support technicians with accurate job preparation and parts coordination.
This is a leadership position where your primary focus will be on delivering an exceptional customer experience while collaborating with technicians and our workshop manager to ensure the front-of-house operations run smoothly and efficiently.
What You'll Be Doing
Provide outstanding front-line customer service for service and repair bookings
Confidently explain recommended repairs and services in plain English
Accurately prepare quotes, repair orders, and service invoices
Manage workshop schedule and coordinate with technicians to ensure smooth daily operations
Send and follow up on digital inspections, gaining customer authorisations
Provide transparent "show and tell" with replaced parts where required
Maintain clear documentation for all jobs and approvals
What You Won't Be Doing
Dealing with warranty enquiries
Low-value administrative work - you'll have support from a reception/VA team to handle job card preparation, routine parts orders, service reminders, and other admin so you can focus on customers and workshop flow.
Doing it all yourself - our service manager & business manager will be alongside supporting you to do your best work.
What We're Looking For
Previous experience as a Service Advisor in an automotive environment is essential (technical knowledge required)
Minimum 1-2 years of Service Advisor experience in the automotive industry is required
Basic automotive knowledge and technical understanding is essential to communicate effectively with customers and technicians
Customer-first mindset with a professional and approachable manner.
Strong communication skills - ability to explain technical issues in plain language.
Proactive and willing to take ownership of the customer journey.
Honest, reliable, and consistent - able to build trust with customers and colleagues.
Great organisational ability with strong attention to detail.
Proficiency with technology and workshop management software (Automation & Navigator highly regarded)
Confidence in learning new digital tools (we use digital inspections, SMS comms, and VA support systems daily)
Must have valid Australian work rights to be eligible for this position
