The Role
We're seeking an experienced Office Manager to serve as the operational backbone of our business. This is a key role supporting our continued growth and success, where you'll ensure smooth daily operations while maintaining our reputation for exceptional service.
Key Responsibilities
Administrative Operations:
Manage files, schedules, and data with exceptional attention to detail
Handle material sourcing coordination and supplier communication
Support day-to-day administrative tasks and office operations
Process documentation and maintain organised filing systems
Job Scheduling & Project Support:
Manage job scheduling and provide comprehensive administrative support to Project Manager
Handle administrative coordination between office, field teams, and suppliers
Maintain job documentation and ensure administrative processes are followed consistently
Customer Communication & Service:
Serve as primary customer contact for scheduling, updates, and general inquiries
Channel customer communications to appropriate team members efficiently
Maintain accurate customer records and manage ongoing correspondence
Process customer invoicing and handle payment follow-up
Lead Administration & Pipeline Management:
Enter and track incoming leads in HubSpot CRM system
Set up lead files and prepare comprehensive information for estimating team
Schedule site visits and consultations with precision
Maintain lead pipeline and ensure consistent follow-up processes
Systems Management:
Serve as in-house expert for Simpro and Xero systems
Ensure processes are properly documented, followed, and continuously improved
Train team members on system usage and troubleshoot issues
Identify opportunities for operational efficiency improvements
What You Bring
Essential Experience:
Minimum 3+ years in office management within trade or construction industry
Simpro experience mandatory - proven hands-on experience required
Xero accounting software experience mandatory
Strong understanding of construction/trades workflows and terminology
Professional Skills:
HubSpot CRM experience highly regarded
Excellent written and verbal communication skills with customer service focus
Highly organised with proven ability to manage multiple priorities effectively
Proactive problem-solver with keen attention to detail
Professional phone manner and ability to build rapport with diverse stakeholders

Salary: $80,000 - $90,000 (based on experience and system expertise)
