About the Role
Ray White Derby is seeking a proactive and highly organised Office Administrator to take ownership of the day-to-day running of our Derby office. This role blends office administration, reception duties, and sales administration.
As the central support hub of the office, you’ll ensure smooth operations, uphold professional standards, and provide reliable support across all departments. This is a hands-on role that requires initiative, excellent time management, and the ability to juggle multiple responsibilities in a fast-paced environment. You’ll be supported by the General Manager and Team Leaders in our Broome and Perth offices, while being entrusted with the autonomy to manage the Derby office independently.
Key Responsibilities
Office Administration
Oversee and support the daily operations of the Derby office, ensuring it runs smoothly and professionally.
Maintain a well-presented, clean, and secure office environment.
Assist with IT troubleshooting and support new system rollouts (with external IT provider).
Coordinate logistics for staff leave, anniversaries, events, and office celebrations.
Organise and support team meetings, training sessions, and community engagement events.
Relay feedback and operational insights to the General Manager and Team Leaders.
Sales Administration
Manage and process sales contracts from listing through to settlement.
Liaise with agents, settlement agents, banks, and clients to ensure smooth transactions.
Prepare sales reports, statistics, and correspondence for management.
Maintain and update sales files, databases, and systems (Vault & Property Tree).
Support sales marketing activities including advertising, social media, and VPA tracking.
Administer sales meetings, prepare minutes, and assist with sales training logistics.
Manage trust accounting tasks, including invoicing, receipting, and weekly audits.
Reception & Client Care
Greet clients and visitors in a professional and welcoming manner.
Handle incoming calls and enquiries with efficiency and a customer-first approach.
Provide day-to-day assistance to Property Management and Sales staff as needed.
About You
We are seeking a highly motivated and organised Office Administrator who thrives on variety and responsibility. You’ll need to be structured in your approach but flexible enough to switch between tasks and departments seamlessly.
You’ll bring:
Previous administration experience.
Strong attention to detail and excellent time management skills.
Confidence using office systems and databases (Google Suite knowledge preferred but not essential).
Professional communication skills and a customer service focus.
A positive, team-oriented attitude with initiative and problem-solving ability.

Competitive salary package of $80,000 plus super, including a commission structure meaning there’s room for this amount to increase.
