Front Desk Admin to Practice Manager
📍 Location: Wolli Creek | 🕒 Hours ranging from 24-38hrs/wk
🏥 Join a New, Multidisciplinary Allied Health & Psychiatry Clinic
This role will start around Mid October-November 2025
We're a brand-new, purpose-driven health centre led by a psychiatrist and supported by a growing team of allied health professionals—including psychologists, physiotherapists, cardiologists, gynaecologists, and paediatricians. Our goal is to create a warm, welcoming, and integrated environment for both clients and clinicians.
As our team expands, we're looking for an experienced and motivated person who is ready to take ownership of clinic operations and help us build something truly special from the ground up. We envision someone who can come in with experience to help us build an incredible space for our doctors and patients, and with time can step back into a more traditional practice management role and hire receptionists/admin for extra support.
You'll be the key administrative support across the practice and the first point of contact for patients.
Duties include:
Front desk reception: greeting clients, managing calls & emails
Appointment scheduling across multiple disciplines
Medicare, private billing & health fund processing
Maintaining patient records and clinical documentation
Supporting onboarding of clinicians and coordinating room bookings
Stock management, ordering supplies, and facility upkeep
Liaising with external referrers and service providers
Ensuring compliance with healthcare regulations and privacy standards
👤 About You
We're looking for someone who is organised, friendly, and can manage multiple tasks with a smile. You're a self-starter, a strong communicator, and genuinely care about patient experience.
Australian citizenship or permanent residency is required for this position.
You'll need:
A minimum of 2+ years of practice management experience is required
Confidence using practice software (e.g., Genie, Halaxy, Cliniko, Best Practice)
Strong understanding of Medicare and private billing
Excellent organisational and multitasking skills
A calm and professional manner, especially under pressure
Ability to work independently and take initiative
Attention to detail and strong administrative skills
Bonus points if you have:
Experience in mental health or allied health settings
CPR / First Aid certification
Payroll or bookkeeping experience
