Are you a highly organised, proactive, and detail-oriented professional seeking a dynamic role supporting executive leadership? As the Executive Assistant, you will work closely with our Chief Executive Officer (CEO) to manage their workload, prioritise tasks, and ensure the smooth operation of daily activities.
You’ll provide high-level administrative, governance, and compliance support, and liaise with internal and external stakeholders across all levels.
Key responsibilities include, but are not limited to:
- Managing the CEO’s calendar and coordinating meetings with internal and external stakeholders.
- Monitoring emails and facilitating communication, ensuring a smooth flow of information with internal and external partners and providers.
- Drafting, preparing and formatting reports, presentations, speeches, communications and other documentation for the CEO.
- Assisting in preparing for and coordinating Executive and internal meetings: preparing and circulating agendas, taking minutes, tracking actions and organising logistics (e.g., catering, venues).
- Coordinating travel arrangements for the CEO and Executive Team.
- Greeting visitors and liaising with internal teams.
- Coordinating internal staff events, as required.
- Providing operational, governance and administrative support to the CEO and Executive Team.
- Other duties as reasonably required.
Essential Skills and Attributes:
- Proven experience as an Executive Assistant to a CEO or executive leader.
- Exceptional organisational and time management skills, with the ability to work autonomously and manage competing priorities.
- Discretion in handling confidential and sensitive matters.
- Strong interpersonal and relationship-building skills.
- Excellent written and verbal communication, with high grammatical accuracy.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Experience in event/function planning.
- High attention to detail, strong problem-solving ability, and a proactive mindset.
- Ability to streamline and maintain effective administrative systems.
- Flexibility to attend meetings and events outside of regular business hours.
Desirable:
- Experience as an Executive Assistant in the aged care or NDIS sector.
- Familiarity with governance, board reporting, and compliance.
- Understanding of the disability services environment.
- Experience with CRM or database systems.
Required Compliance Documents:
- National Police Clearance.
- NDIS Worker Screening Check
- Working with Vulnerable People (NDIS endorsed).
- Valid Driver's Licence
