About the Role
We are seeking a proactive, detail-oriented Customer Care & Executive Assistant to join our growing team. This is a varied and rewarding role where no two days are the same. You’ll work across all areas of the business – providing high-level administration support, assisting our Customer Care and Building Management teams, and directly supporting our 3x Directors as an Executive Assistant.
You’ll be the first point of contact for many of our clients and residents, ensuring outstanding service delivery, and you’ll play a key role in keeping our operations running smoothly.
Key Responsibilities
Administration & Customer Care
Provide company-wide administration support across all divisions.
Respond to client enquiries via phone and email, logging and tracking in our Building Management software.
Answer incoming calls via the 1300 number and direct queries appropriately.
Assist with onboarding staff/contractors and maintaining compliance records.
Prepare correspondence, reports, and broadcast communications.
Building Management Support
Assist the Building Management Team with day-to-day administration and coordination.
Schedule and track contractor works and inspections.
Support compliance reporting and follow-up actions.
Assist in relief as required across different sites.
Executive Assistant Duties
Provide direct support to 3x Directors including diary management and meeting coordination.
Prepare reports, proposals, and presentations.
Manage confidential company-level matters with discretion.
Assist with company projects and initiatives.
Other Duties
Assist with company events, staff meetings, and client presentations.
General office management support.
Other duties as required.
What We’re Looking For
Strong administration and organisational skills with excellent attention to detail.
Confident communicator with a professional and friendly manner.
Previous experience in Administration, Customer Service, or EA roles (property/building industry experience highly regarded but not essential).
Ability to juggle competing priorities and work in a fast-paced environment.
Proficient in Microsoft Office and general business systems (experience with BuildingLink or similar software a bonus).
Proactive, hands-on, and willing to go above and beyond.
