We pride ourselves on providing professional, transparent, and genuine financial planning advice that clients can trust. As part of our growth, we are looking for an Administration Assistant to join our team and play a vital role in supporting both our clients and advisers.
We are looking for someone to join the team in a part time capacity.
Work hours would be Monday to Friday - 10am - 2pm.
Position Purpose
The Administration Assistant is responsible for ensuring client service and administration processes run smoothly and meet the high standards expected by our Directors and clients. This role will manage day-to-day client services and administration, ensuring tasks are completed accurately, efficiently, and in compliance with regulatory requirements.
Key Responsibilities
Client Services & Administration
Prepare and send client documents, forms, and correspondence.
Assist with onboarding new clients (collecting ID, fact finds, signed authorities, compliance paperwork).
Book and confirm client appointments, reviews, and follow-ups.
Answer client phone calls and emails, directing queries to the right team member.
Chase up outstanding information or documents from clients and providers.
Track and monitor workflow tasks to ensure deadlines are met.
Manage incoming and outgoing mail and email correspondence.
File management (scanning, uploading, archiving client files).
Data entry and database maintenance.
General office tasks such as ordering supplies, greeting clients, and supporting management.
Qualifications & Experience
Desired
Previous experience in an administration role.
Experience with XPLAN or similar financial planning software.
Essential
Proficiency in Microsoft Office (Word, Excel, Outlook).
Key Skills Required
Professional, positive, and proactive attitude.
Strong attention to detail and accuracy.
Ability to process information efficiently and effectively.
Excellent written and verbal communication skills.
Strong organisational skills with the ability to meet deadlines and maintain high standards.
Ability to work independently and collaboratively as part of a team.
