Aim of Position
The aim of the Front of house receptionist is to provide efficient administrative support to the real estate team, and deliver high standards of customer service. You will be expected to perform key business administrative tasks by ensuring smooth daily operations and contribute to successful continuous improvement of the business.
Key Responsibilities
Administrative Support
1. Diary management, coordinate telephone contact, inbox, and mail management
2. High-level task and communication management
3. Effectively liaise with clients and staff
4. Preparation and compilation of presentations, reports, and submissions in both hard and soft copy
5. Extensive use of Microsoft Office Suite and other software packages
6. Maintain confidential files and record systems
7. Provide general administrative support to the team, including photocopying, scanning, and printing documents
8. Follow thedirection and requests from the Principal and carry out all tasks to an exemplary professional standard
9. Ensure that the industry guidelines/regulations are adhered to at all times while performing your role
10. Order and maintain office supplies and equipment and maintain kitchen supplies.
Customer Service
11. Provide general reception and front of house support offering a warm welcome greeting and a high standard of customer service to all clients.and stakeholders
12. Manage incoming and outgoing calls across systems, ensuring responses are given in a timely manner
Ensure that important notifications are communicated and relayed accurately via email
13. Ensure that the company’s reputation for customer service excellence is maintained and delivered in professional manner at all times
Position Requirements - Qualifications and Experience:
Mandatory
1. High school diploma or equivalent
2. The ability to work autonomously on assigned tasks as issued by the principal
3. Minimum of 1-2 years of experience in an administrative support role
4. Strong computer knowledge and skills including Ms Office and database applications
5. Strong written communication and interpersonal skills
6. Attention to detail and accuracy
7. Positive attitude and Initiative along with a Can Do Attitude
8. Good time - management skills and ability to prioritize workload
9. Confidence with digital devises with an ability to learn new systems
10. Reliability and personal resilience
11. Team Player
