Global FM is a small dynamic Brisbane-based boutique Facilities & Maintenance Management company which has been operating for over 25 years.
We provide operations and technical management and maintenance over a broad range of properties including commercial buildings / retail centres / warehouse precincts and residential developments.
We have a small and dedicated workforce that strives to provide a more personalised operational and technical management service to our clients.
About the role:
We're looking for an experienced Office Administrator to keep our busy office on track!
In this role, you will be responsible for a range of administrative and accounting tasks, playing a key role in our day-to-day operations.
This is a permanent part-time position based in our Paddington office, 4-5hrs/day, 5 days/week for an immediate start. Flexible working arrangements will be considered.
Your key responsibilities will include:
Front Desk Reception Duties
Being the first point of contact for clients, visitors and staff, maintaining a warm and professional reception.
Answering phone calls, handling email correspondence and managing/redirecting inquiries as appropriate.
Handling incoming and outgoing mail, deliveries and couriers.
Managing office supplies and equipment, including stationery, printer supplies and kitchen supplies.
General Administration Support
Providing strong administrative support to both Clients and the small team of Facility Managers and maintenance personnel.
Processing workorders using RAM (Real Asset Management System)
Processing contractor invoices for Clients using Adobe E-sign
Drafting and editing proposal and report documents as required
Financial Support
Accurate Data Entry in MYOB, keeping financial records up to date
Accounts Payable & Accounts Receivable
Creating, managing, and sending out customer invoices in MYOB for maintenance and project works.
Register and Compliance Management
Updating tenant data bases as required to keep contact information up to date
Updating site access details and contractor lists for contracted sites
Sending announcements to building tenants using tenant data base and building/ site email proformas as required
Programming and updating access cards for buildings.

Professional and friendly demeanour
Strong customer service focus
Proficiency in MYOB.
Strong data entry skills.
Proficiency in ADOBE – Convert, E-Sign, PDF Forms
Proficiency in using Microsoft Office suite, including, Outlook, Word, Excel and the ability to grasp new concepts and systems quickly and efficiently
A high level of attention to detail and the ability to manage multiple tasks.
Strong organizational and communication skills to support our small team.
A team player with the ability to work independently and take ownership of your work.
Experience in the property industry is desirable but not essential
