Your role as an Administration Officer
The Volunteer Relations Administration Officer provides corporate-level administration support to develop and optimise the management of Wesley Mission Queensland’s (WMQ) volunteer network.
Under the direction of the Team Leader - Administration, the Administration Officer will be responsible for accurate registration and data entry across the CRM, government identification portals, timely responses to inbox enquiries and providing quality and meaningful customer service. The role requires a strong ability to proactively identify gaps in operations and provide effective solution and problem solving.
The position is funded until June 30, 2026, with the potential for extension if the funding grant is renewed.
Key Role Accountabilities
Providing quality administrative support to the Volunteer Relations team.
Maintaining positive relationships with stakeholders and delivering exceptional customer service.
Accurate collection, recording and management of stakeholder records.
Assisting with the preparation and management of presentations, documentation and spreadsheets.
Collecting, inputting, and reporting on data in line with service and funding requirements.
Ensuring compliance with legislative and regulatory requirements.
Attending meetings and supporting the coordination of events and functions where necessary.
About You
Advanced knowledge of administration gained through experience, training, or education
Knowledge of and experience interpreting statutory requirements and systems relevant to the workplace.
A high level of attention to detail and accurate compliance collecting, recording, auditing and reporting skills.
Excellent interpersonal skills, including application of customer service principles to all stakeholders.
Advanced skills in the Microsoft Office suite of applications particularly Word, Outlook and Excel.
Desirable
Relevant qualification in Business Administration or similar.
Experience working in an administration setting within a not-for-profit organisation.
Knowledge of or ability to gain knowledge of contemporary volunteer management principles and the Aged Care Volunteer Visitor Scheme.
What you’ll need to start with WMQ
Proof of Vaccination Status as required by Legislation, Health Directives or WMQ Policy throughout employment and prior to commencement.
Relevant probity checks required by legislation and WMQ Limited policy.
Current Driver’s Licence and willingness to drive in the course of work.
