The Job
As our Administration Assistant, you will be an integral part of the office team, supporting our Executive Assistant, executive leadership, and wider business. You will play a key role in ensuring our office runs smoothly, our people are supported, and our customer experience is always exceptional.
This role will give you exposure to a wide range of responsibilities including administration, financial support, event coordination, social media management, report writing, and assisting at times in board-level activities. You will also be trained in payroll and have the opportunity to undertake a traineeship in financial literacy and bookkeeping.
You will work closely with colleagues in Finance, Projects, Engineering, Service & Maintenance, and the Executive Suite to:
Coordinate travel, itineraries, events, and functions.
Support financial processes including credit card reconciliations, expense management, and payroll.
Assist with accurate data entry, filing, and document management.
Attend board meetings as required, taking accurate minutes.
Assist with report writing and preparation of executive documents.
Create high-quality communications using Microsoft 365 and Canva or Adobe Creative Suite.
Manage social media updates and engagement.
Ensure the office environment is professional, welcoming, and well-maintained.
The Requirement

To be successful in this position you will need:
Some experience in administration, reception, or a similar role advantageous.
Strong Microsoft Office 365 skills.
Excellent written and verbal communication skills.
Typing speed of 60+ words per minute with accuracy.
Strong organisational skills with the ability to prioritise tasks.
Confidence in learning new systems, including financial and payroll software.
Creative capability in Canva or Adobe Suite (Illustrator, InDesign, Photoshop).
An interest in financial literacy and bookkeeping.
Report writing experience or capability will be highly advantageous.
The ability to attend interstate travel occasionally.
A current driver’s licence (P-Plate or Full).
Qualifications in administration, bookkeeping, or accounting will be useful. A sound understanding of financial processes is advantageous.
This position is based in our Parkinson office, with onsite parking and modern facilities. You will report to our Executive Assistant and work closely with the executive leadership team.
