About the role
We are seeking an experienced and proactive Operations Administrator to manage and streamline our office administration, scheduling, and operational support functions. This role is pivotal to ensuring projects and tasks are scheduled efficiently, invoices are accurate, inductions and compliance are managed, and the warehouse and operations run smoothly.
This is not an entry-level position. We are looking for someone with proven experience in construction, trades, or facilities management — someone who thrives on organisation, accuracy, and operational coordination.
What you'll be doing
Manage day-to-day office operations, supporting the Director, Operations Manager and Warehouse team
Schedule and allocate jobs to staff and subcontractors using our works system, Aroflo (Training Provided)
Prepare and issue invoices, close off jobs, track payments, and assist with financial administration
Conduct and coordinate staff and subcontractor inductions, ensuring compliance with safety requirements and issuing project start up documents
Maintain and update Aroflo with job records, expenses, timesheets, staff information, and progress reports
Manage staff timesheets, leave requests, and approvals for payroll processing
Assist with onboarding of new staff, including documentation and training support
Coordinate and order as required, warehouse stock, equipment, and logistics to ensure smooth operational flow
Maintain accurate compliance documentation, registers, and records
Update our social media platforms and manage the job photos library
What we're looking for
Several years of experience in an administrative or operations support role (construction/trade essential)
Strong organisational and time management skills, with a background in job scheduling and project coordination
Excellent communication and interpersonal skills, with a customer-focused approach
Proficiency in using Microsoft Office applications
A keen eye for detail and the ability to maintain accurate records
A flexible and adaptable approach, with a willingness to learn and take on new challenges
