We are seeking a highly organised and detail-oriented Administrative Assistant to join our team in Port Macquarie. As an Administrative Assistant, you will play a key role in supporting our office operations and ensuring smooth day-to-day functions. The ideal candidate will be a proactive problem-solver with a professional demeanor and the ability to manage multiple tasks efficiently.
This position is a full-time role, with the flexibility to work from home on certain days. We require you to come into the office at least three days a week to effectively collaborate with the team and manage office-based responsibilities. You will report directly to the Manager and will provide general administrative support to the entire office team.
Key Responsibilities
Front Desk & Communication: Serve as the primary point of contact for incoming calls, acting as a gatekeeper to screen and direct calls appropriately.
Mail Management: You will be responsible for handling incoming and outgoing mail, including picking up approximately mail items per week and preparing client packs for distribution.
Data Management: Perform accurate data entry to update our CRM system, Tax Dome, and other internal systems. Strong attention to detail is crucial for maintaining the integrity of our records.
Document & Asset Management: Prepare, scan, and file various documents to ensure a well-organised and accessible filing system. This role also involves managing specific assets,).
General Administration: Provide comprehensive administrative support to the office team, which includes a wide range of tasks to ensure efficient operations.
Qualifications and Skills
Exceptional Communication: Excellent written and verbal communication skills are essential, along with a professional and friendly phone manner.
Highly Organised: You must be naturally organised and have the ability to multitask effectively and efficiently in a fast-paced environment.
Technical Proficiency: Intermediate computer skills are required. You should be proficient in Microsoft Office 365, including Outlook, Word, and Excel.
Detail-Oriented: A strong commitment to accuracy and attention to detail is a must for all tasks, especially data entry and document management.
Prior Experience: Previous experience in an accounting or professional services firm is highly desirable.
