DVA & Sales Administrator
AC Mobility is proudly West Australian owned and have been in business for 33 years.
We provide mobility equipment and Assistive Technology throughout Western Australia to people living with a disability and those requiring assistance with daily living aids.
We are seeking a highly organized and motivated Administrator to join our team, supporting two key areas of our business. This dual-role position involves:
Two days per week dedicated to DVA administration, ensuring smooth processing and delivery of equipment through our contract with Country Care Group (CCG), and
Two days per week supporting the Sales Team, with a focus on specialty medical and rehabilitation equipment.
*For the right candidate, this role can be made full-time by incorporating additional responsibilities and support across other administrative or operational areas of the business.
This is a dynamic role that offers variety and the opportunity to work across departments to support essential healthcare services to our clients.
Key Responsibilities
DVA Administration (2 days/week)
Monitor incoming orders via the CCG portal and raise hire contracts in Syrinx
Coordinate equipment availability and assembly with Warehouse and Procurement Managers
Liaise with therapists regarding order clarification, delays, and alternative options
Schedule and confirm deliveries and collections; notify customers
Organize documentation: advice notes, delivery schedules, service orders
Process returns, off-hires, and repairs; liaise with Accounts for invoicing
Process monthly hire renewal for DVA clients
Arrange annual testing/tagging as required
Meet contractual KPIs and provide general admin support
Assist with walk-in customers in the showroom
Sales Administration (2 days/week)
Handle incoming calls and email enquiries professionally and promptly
Prepare quotes, hire contracts, extensions, and manage expired quotes
Coordinate trials and handovers, including logistics and documentation
Maintain Occupational Therapist diaries and schedule appointments
Confirm orders, process invoices, and track funding approvals
Provide after-sales support and product information to customers
Liaise with Procurement to flag system or product discrepancies
Support the sales team with research, printed materials, and showroom backup
Essential Requirements
Strong computer skills
Deliver Excellent customer service
An understanding of the NDIS would be highly desirable
Work in a co-operative manner across all departments of the business
Ability to work in a fast-paced environment and cope well under stress
Be very well organized with the ability to prioritize tasks
Attention to detail and accuracy
Proof of COVID vaccination and booster
