About the role
Reporting to the Administration Coordinator you will provide effective and efficient administrative support to the School of Nursing and Midwifery working in collaboration with academic and professional staff to ensure the smooth operation of the School. This position is responsible for supervising the administrative team and overseeing the administrative functions within the School.
Key Responsibilities
Provide high level administrative support to the School, including scheduling meetings, preparing documentation, records management and communicating with key stakeholders.
Work accurately with detailed information; including undertaking data entry, maintaining spreadsheets, managing correspondence, collating data for reports, and under direction, prepare a range of written communication.
Provide financial support by maintaining financial records systems, processing payments, purchase orders and invoicing ensuring that it is monitored and reported.
Assist with and contribute to submissions, statistical summaries, data sets and report compilation and other material related to placements and student outcomes as required.
Participate and undertake project work in collaboration with school and or faculty.
Assist the Head of School with the management and review of policies, procedures, guidelines and forms.
Providing quality responses to a wide range of queries, from students, staff, and external partners whilst liaising closely with other areas of the organisation to provide timely and accurate information
Overseeing the administrative function by managing the daily workload of the School’s administration team, ensuring the delivery of high service standards and efficient administrative support
Coordinate and collaborate with the Head of School and Academic staff to ensure efficient timetabling and scheduling for the teaching function, ensuring accurate documentation and processing of grades and student information.
Organise events and workshops, including orientations and training sessions, ensuring smooth execution and logistics.
Process Improvement and Program Development
Assist in identifing and implement process improvements and program developments in line with university objectives and best practices.
Qualifications, skills & experience
Possession of a degree qualification with relevant experience or an equivalent combination of experience, education and training.
Demonstrated administrative capability with previous experience within a university or tertiary environment, would be highly desirable.
Advanced communication skills, with the ability to build effective relationships, engage and influence a diverse range of stakeholders.
Excellent operational, organisational and administrative skills, with the ability to prioritise tasks and manage competing deadlines in a dynamic environment.
Demonstrated High level of competency in using administrative and management software to track and report on School information and data such as Microsoft Office Suite (Word, Excel, PowerPoint), Adobe, Timetabling and Data Base programs (Allocate, Sonia, CELCAT), and video-conferencing tools.
Ability to work independently and across multifunctional teams, showing initiative and a solution-focused approach and providing a high level and responsive service.
Proven record in the preparation of high-quality documentation with excellent accuracy and attention to detail.
