Maternity Leave Contract — Coordinator / Office Administrator
12-month contract (ASAP Start, can full time for the right candidate)
East Brisbane [free secure parking] | Monday–Friday | 8:30am – 5:00pm
Opportunity for ongoing permanent role for the right person
We’re seeking a confident, organised and people-focused Coordinator / Office Administrator to join Health N Home during an upcoming maternity leave period. It’s ideal for someone who enjoys a consistent workflow, stays calm under pressure, and thrives on being busy as part of a small, supportive team. Full training will be provided, so you’ll be supported every step of the way.
What you’ll be doing
Coordination
Booking continence, wound, and catheter appointments (with travel/report time factored in)
Rescheduling and updating nurse calendars as changes occur
Confirming appointments and following up when participants don’t respond
Creating and sending service agreements and quote requests for complex care
Following up outstanding service agreements and approvals
Monitoring report authorisations, quote returns, and participant payments
Dispatching reports once all steps are finalised
Managing capacity and referral enquiries via phone and email
Entering new referrals into Zander (our client management system)
Office Administration
General inbox and phone management
Packing orders and dispatching consumables to clients and participants
Monitoring and corresponding with participants and families about quotes, invoices, and service-related queries
Liaising with other departments to ensure timely and smooth communication across the business
Keeping the office clean, stocked and well organised
Liaising with service providers (cleaners, couriers, stationery, etc.)
Supporting the Operations Manager with admin, data entry, and special projects
Filing consumables quotes and assisting with invoice queries
You’ll be a great fit if you have:
Proven experience in coordination, scheduling, or admin (NDIS/Aged Care or health sector experience a plus, but not essential as full training will be provided)
Confidence with digital tools (Zander, Xero, MS365 preferred)
Excellent phone and email communication skills
Strong time management and attention to detail
A flexible, can-do attitude and willingness to take initiative
