About the Role
The Administration Officer will undertake a wide range of reception and administration tasks, including working with practice management and billing systems, medical records and supporting the headspace team to focus on delivering a quality service to young people and families/friends who attend the centre.
headspace is the National Youth Mental Health Foundation providing tailored and holistic mental health support to people aged 12-25 years old in Australia. Wesley Mission Queensland are proud to partner with headspace and to operate centres in Capalaba, Hervey Bay and Maryborough.
Key Role Accountabilities:
Align one’s workplace behaviour in accordance with the WMQ Model of Care, the Wesley Charter and Wesley Mission Queensland’s Vision, Mission and Values.
Provide overall day to day operation of the front reception, including meeting and greeting all clients in a professional manner, answering telephone enquiries, taking messages, and providing appropriate reception and administration support to staff as needed. Manage incoming and outgoing referrals and centre correspondence via email, fax or phone call.
Opening and closing the office as per set schedule and procedure; and ensuring that the waiting area and consult rooms are always clean, tidy and well-presented.
Create client files and complete intake administration utilising relevant software.
Facilitate and liaise with appropriate clinicians and young people when booking appointments, including appointments with Tele-psychiatry and private practitioners. Coordinate the Medicare Billing Schedule process for all Private Practitioners and ensure Mental Health Care Plans for Young People are received.
Assist Administration Coordinator to prepare orders, invoices, and manage and reconcile petty cash for approval, prepare data reports as required, and assist with onsite client coordination for third party providers accessing the centre. Assist with meeting preparation tasks and provide secretariat for agenda and minutes as required, and provide other reasonable support and assistance as required to the Administration Coordinator.
Provide assistance to lower-classified administration employees or volunteers which may include planning and coordinating of tasks and onboarding of new staff and volunteers to the centre.
Maintain client confidentiality, adhering to mandatory reporting and other relevant legislative requirements. Adhere to appropriate standards of safety, welfare and health care for staff, families and friends and young people within the headspace centre.
Comply with continuous clinical quality improvement activities to improve the service provision and outcomes for young people who access the service.
Ensure compliance with Wesley Mission Queensland policies and procedures including Code of Conduct, Work Health and Safety and Quality Systems.
Become familiar with the Clinical Governance Framework and Clinical Practice Manual, specifically regarding Incidents at the Centre and staff responsibilities.
Promote, participate in and contribute to a supportive team environment including the sharing of professional experience, expertise and skills, through building relationships based on trust and respect for every person and working in a culturally secure and appropriate way.
Relate to young people in a manner which is relevant and appropriate to their developmental and cognitive level of functioning, provide services in a youth friendly manner, and promote and adhere to youth-friendly practice principles
About You
Qualifications in Administration and/or demonstrated knowledge and experience in a similar receptionist / administration role.
Demonstrated experience in providing reception and or administrative support to a multi-disciplinary team including the requirement to maintain privacy and confidentiality.
Ability and willingness to work with young people in a Mental Health Environment in a youth-friendly manner.
Demonstrated organisational skills and can work under pressure.
Well-developed interpersonal, verbal and written communication skills, including excellent customer service skills and the ability to engage and work with a range of internal and external stakeholders.
Must possess high level of computer skills with proficiency in the use of Microsoft Office suite and to have the ability to quickly acquire knowledge in utilising MMEX (Client Management System).
Current or ability to obtain a suitability card for child related employment (“Blue Card”).
Willingness to work as part of a team.
Ability and willingness to work within the organisational policies and procedures of Wesley Mission Queensland.
Desirable:
Experience in an administration role within a healthcare setting.
Experience of or ability to gain knowledge of Medical Benefit Scheme (MBS) guidelines.
