Job Title: Technical Internal Sales & Document Controller

Position Overview:

We are looking for a highly organized and technically competent individual to join our team as a Technical Internal Sales & Document Controller. This dual-role position supports the internal sales process for our mining-related manufactured products range while also ensuring rigorous control and management of technical and compliance documentation.

You will serve as a key point of contact between clients, the production team, and engineering, helping to drive sales through accurate technical quoting and efficient document control, particularly related to mining industry standards and requirements.
Proficiency in Xero accounting software is required, particularly for assisting with invoicing, quoting, purchase order entry and tracking financial components related to the sales and order management process.

Key Responsibilities:

Technical Internal Sales

Respond promptly to incoming enquiries related to mining equipment, components, and parts, providing detailed technical information and support.

Prepare accurate quotations and commercial proposals based on engineering data, client specifications, and pricing guidelines.

Liaise with engineering, procurement, and manufacturing teams to confirm feasibility, production lead times, and customisation options for customer requirements.

Track and follow up on quotations, customer orders, and delivery schedules using the ERP system.

Assist external sales representatives by preparing pre-sales technical documents and maintaining customer records.

Build strong relationships with clients and procurement personnel, delivering high standards of customer service and technical reliability.

Use Xero to manage customer quotes, invoicing, and track payment statuses in coordination with accounts and sales.

Document Control

Manage and control the flow of technical documentation including product datasheets, technical drawings, inspection & test plans (ITPs), welding records, materials certificates, and QA/QC documentation.

Ensure documents are properly formatted, version-controlled, approved, and stored in line with both internal processes and external compliance requirements.

Prepare and maintain Manufacturing Data Reports (MDRs) and document packs for projects and to suit client requirements.

Support the external Sales team with document submissions for tenders and vendor qualification processes.

Maintain internal registers and ensure traceability of all critical manufacturing and technical documents.

Requirements:

Education & Experience:

Minimum 2–3 years of experience in a similar role. Experience within a manufacturing environment is advantageous.

Familiarity with mining products is highly desirable.

Hands-on experience using Xero accounting software is also highly desirable.

Strong technical understanding of manufactured mining products and their applications.

Experience working with document control systems and processes.

High attention to detail and ability to manage multiple technical documents simultaneously.

Strong verbal and written communication skills, especially when interacting with clients or contractors.

Ability to interpret technical drawings, specifications, and material data sheets.

Desirable:

Working knowledge of ISO 9001, AS/NZS standards, and mining industry documentation requirements.

Understanding of procurement and supply chain processes within mining projects.

Experience with fabrication and QA/QC documentation like - NDT reports etc
