About Us:

We are seeking a highly organised and proactive Executive Assistant to the CEO to provide high-level support and coordination across the executive office. This is an exciting opportunity to work closely with the CEO and leadership team, ensuring smooth operations across academic, clinical, and innovation initiatives.
Key Responsibilities:
Provide executive-level administrative support, including diary management, correspondence, and preparation of reports and communications.
Act as the primary point of contact for internal and external stakeholders, ensuring professional and timely engagement.
Prepare agendas, minutes, and briefing papers for executive meetings.
Support the CEO with strategic projects, presentations, and stakeholder engagement activities.
Coordinate communication between the CEO’s office and ISN’s leadership teams across Melbourne and Sydney.
Maintain confidential records, track action items, and oversee the implementation of executive decisions.
Assist with event organisation, travel logistics, and the coordination of special initiatives.
About you:
Proven experience as an Executive Assistant or in a similar senior administrative role.
Exceptional organisational skills, with the ability to manage competing priorities and deadlines.
Strong written and verbal communication skills, with attention to detail and a professional approach.
Ability to work with discretion, managing sensitive information and complex stakeholder relationships.
Confidence in preparing documents, presentations, and governance materials at a high standard.
A proactive mindset, with the capacity to anticipate needs and take initiative.
Experience within higher education, health, or related professional services will be highly regarded.
Preferred Qualifications:
Experience in higher education or a similar industry
Tertiary qualifications in administration management or related field.
Familiarity with project management tools (e.g., Asana, Trello, Notion).
