Our client is seeking a proficient and hardworking Executive Assistant to support a senior executive in a dynamic and fast-paced environment. This exciting opportunity is perfect for someone who is looking for a permanent role. As the EA, you will work in a team and take charge of key responsibilities such as calendar management, travel coordination, and liaising with internal and external stakeholders, while always ensuring confidentiality and professionalism. This role is fully onsite, providing great exposure to a vibrant and collaborative workplace culture.
Duties
Within the role you will be responsible for:
- Providing administrative and personal support to a senior executive.
- Managing and updating calendars, schedules, and appointments efficiently.
- Handling confidential information with professionalism, sensitivity, and discretion.
- Responding promptly and professionally to communications such as emails, calls, and letters.
- Acting as a liaison between the senior executive, internal departments, and external stakeholders.
- Arranging and preparing agendas, reports, and materials for meetings and events.
- Coordinating travel, accommodation, and itineraries while ensuring cost efficiency and adherence to policies.
- Ensuring meeting actions, follow-ups, and deadlines are tracked and completed on time.
- Assisting in the planning and execution of internal team events, conferences, and workshops.
- Monitoring inboxes and correspondence to prioritise key tasks and flag urgent matters.
- Processing expense reports and maintaining accurate records.
- Preparing presentations and reports using Microsoft Office or similar tools.
- Collaborating with other Executive Assistants to manage team priorities and schedules.
- Managing ad hoc projects as required by the executive.
Skills & Experience
To be successful in the role, you will have experience in:
- Supporting senior executives in a fast-paced environment for 3+ years.
- Demonstrating expert proficiency in Microsoft Office Suite and a tech-savvy approach to systems and tools.
- Exhibiting exceptional verbal and written communication skills, paired with strong interpersonal abilities.
- Planning, organising, and managing time effectively, with the ability to handle multiple tasks simultaneously while meeting tight deadlines and maintaining high standards.
- Working autonomously with strong time-management skills and accountability for outcomes.
- Applying meticulous attention to detail alongside exceptional problem-solving abilities.
- Adapting to diverse situations with an approachable, personable, and flexible nature.
- Collaborating with conflicting personalities and managing overlapping schedules with professionalism and tact.
- Collaborating with other Executive Assistants and teams to coordinate tasks seamlessly.
- Remaining calm and resilient under pressure while maintaining a positive, proactive attitude.
