Our Membership Engagement Officer ensures that new and existing members are informed, supported, and actively engaged with our activities, events, and educational programs.
The position plays a critical role in strengthening our membership community, driving participation in events and supporting our vision of delivering Passivhaus Standard buildings that are healthy, comfortable, low-energy, and resilient across Australia.
Key Responsibilities and Skills:
Membership Administration & Engagement
Processing new memberships and renewal applications
Welcoming and onboarding new members
Selling new memberships and follow up on leads
Maintaining up to date member records and follow up of expired members for re-engagement
Event & Program Coordination
Follow the annual events calendar, secure speakers and assist venue teams for events alongside the marketing team
Coordinate invitations, reminders and follow ups o fall events, sit tours and monthly chapter meetings.
Communications & Marketing Support
Ensure marketing team are aware if listed events and coordinate marketing materials for release
Ensure event listings, membership materials, and automated communications are up to date and meet APA branding standards.
Provide clear, accurate, and timely communication to members and external stakeholders including hosts of site tours.
Relationship Management·
Build and maintain strong relationships with internal and external stakeholders to ensure proactive communication and collaboration.
Act as the point of contact for event stakeholders, ensuring all parties are informed and updates in a timely manner.
Ensuring Quality & Professional Standards
Ensure all file names, links, and formatting meet our corporate standards.
Ensure all event photos are collected and saved to the designated folder for hosts and members within 24 hours of the event.
Identify and implement process improvements for membership engagement and retention.
Our team is looking for the right candidate with strong written and verbal communication skills, experience building engaging & long lasting client relationships, CRM/database management experience, high level of attention to detail, a problem solving mindset and someone who can be flexible and adaptable to changing priorities.
