We are on the lookout for a superstar Administrative Coordinator to join our maintenance partner team; City to Sea Landscapes at their warehouse based in Nerang!
Salary & Benefits:
Salary: $65,000 - $75,000 + super
Hours: Monday to Friday 7:00am to 3:00pm
Start Date: ASAP
About the Role:
We are seeking a highly motivated and organised Admin Officer to join the team at our warehouse in Nerang. This broad and dynamic role offers variety and requires someone with excellent communication skills, a strong work ethic, and a proactive approach to logistics and scheduling.
You will be an integral part of the team, working closely with both internal staff and external suppliers. You’ll be responsible for overseeing a variety of administrative tasks, from managing logistics and ordering materials for new builds to handling flights and accommodation. A key aspect of this role is communication, with frequent phone calls and interactions to ensure everything runs smoothly.
Key Responsibilities:
Scheduling & Coordination: Manage and coordinate logistics, including ordering materials, scheduling flights and accommodation, and managing annual leave.
Communication: Regular phone communication with external suppliers, clients, and internal staff, ensuring clear and efficient exchanges.
Database & Information Management: Logging and tracking critical data, maintaining databases, and using tools like SharePoint, Excel, and Smartsheets.
Compliance Management: Overseeing compliance-related tasks, including maintaining blue card and driver’s license records.
Small Office Management: Assisting with light office management duties, such as taking the bins out, restocking supplies, and printing plans.
Material Ordering: Ensuring materials are ordered on time for both new builds and maintenance projects.
Skills & Experience:
Strong phone manner and communication skills.
Proficiency in Excel and SmartSheets (experience with SharePoint is a plus).
Highly organized with an ability to multitask and prioritize.
Experience in managing logistics and coordinating schedules.
A team player with excellent interpersonal skills and the ability to connect with people at all levels.
Proactive and able to work independently when needed.
Familiarity with timesheet software is advantageous (training provided).
