We are currently seeking a highly organised, proactive, and reliable Office Administrator / Scheduling Coordinator to be an integral part of our day-to-day operations. You'll play a key role in ensuring everything runs smoothly β from customer service and scheduling to supplies and safety.
What You'll Be Doing:
π§βπΌ Customer Service
Answer phone calls and respond to all email and website enquiries
Provide in-person and online quotes with professionalism and accuracy
Follow up on quotes and invoices
π Database Management
Schedule jobs and maintain accurate timelines
Create quotes and send invoices to customers
Prepare Job Service Reports and keep the database up to date with current pricing and details
π¦ Supplies & Procurement
Order office essentials (stationery, snacks, beverages)
Ordering work materials (paint, stencils, machine parts)
Pick up supplies as needed when delivery isnβt available
π¦Ί Health & Safety
Prepare SWMS (Safe Work Method Statements) for upcoming jobs
Ensure all staff have completed inductions before job commencement
Keep safety documentation updated and compliant
What We're Looking For:
Previous experience in an office admin, operations or coordinator role (trade industry a plus)
Strong attention to detail and time management skills
Confident using job management software
Excellent communication skills, both written and verbal
A proactive and can-do attitude
