🧩 What You'll Own
🧾 Client Experience & Relationship Coordination
Be the main point of contact for our clients—trusted, proactive, and on it.
Coordinate internal workflows to keep client delivery seamless and on time.
Lead check-ins, follow-ups, and pulse checks—you're the client experience barometer.
Support proposal and engagement setup (we use Ignition).
Tech Savvy- help us roll out and trial new tech and improve our current system.
Manage onboarding admin: ID checks, portal access, checklists, the whole shebang.
Track critical deadlines (think BAS, reporting, lodgement).
Spot upsell ops and flag service gaps—we love proactive energy.
📋 Admin & Logistics Support
Send invoices, track payments, and chase when needed.
Keep client files, folders, and forms organized.
Track signings.
Own internal task lists and document systems.
Jump in to support general admin tasks: data entry, scheduling, logistics.
Keep general inboxes under control—triage, reply, delegate.
Manage calendars like a pro—meetings, buffers, avoiding double-ups.
Prep agendas, summarize meetings, and track action items like a boss.
Be their right-hand when it comes to priorities, follow-through, and logistics.
🛠️ Tools & Platforms you will use
CRM / Project Mgmt: Karbon, Ignition (Experience here is HIGHLY regarded)
Accounting Tools: Xero
Scheduling: Calendly, Outlook calendar
Communication: Microsoft Teams, Karbon
Docs & Portals: One Drive
✅ Key Qualifications
1–2 years experience in client services, operations, or executive support (accounting or professional services preferred)
Highly organized with strong attention to detail, spelling, grammar and follow-through
Basic bookkeeping skills (adding invoices)
Strong communication and relationship-building skills
Tech-savvy and able to quickly learn firm tools and platforms
Discreet, reliable, and able to handle sensitive information with care
Comfortable multitasking across client across a fast growing company
💡 Bonus Skills (Not Dealbreakers)
Familiarity with accounting firm workflows (BAS, tax lodgements, etc.).
Experience in hybrid roles combining service, ops, and EA.
Working knowledge of Australian compliance cycles (ATO, ASIC).
