As the Institute Administrator and Executive Assistant at the Nossal Institute for Global Health, you'll play a vital role in supporting cutting-edge global health research and education. You'll have the opportunity to develop your skills in executive support, event management, and administrative leadership while working with top researchers and stakeholders. This multi-faceted position offers you the chance to make a real impact on global health initiatives in a collaborative, values-driven environment.
Your responsibilities will include:
- Provide Executive Support: Offer high-level assistance to the Director and senior staff, managing complex schedules, correspondence, and travel arrangements.
- Manage Institute Administration: Develop and implement efficient administrative systems, coordinate short courses, and support staff recruitment and induction processes.
- Facilitate Communication and Events: Organise conferences, seminars, and events, while maintaining strong relationships with internal and external stakeholders.
- Support Institute Operations: Assist with website content, office space management, and Occupational Health and Safety processes.
You may be a great fit if:
You are a proactive and detail-oriented professional with excellent organisational and communication skills, capable of managing multiple priorities in a fast-paced research environment while providing high-level support to senior staff.
You may also:
- Have a relevant tertiary qualification or equivalent experience in administration or executive support.
- Possess strong interpersonal skills and the ability to build relationships with diverse stakeholders.
- Demonstrate excellent time management and the ability to work under pressure.
- Have experience in event management and educational program coordination.
- Be proficient in Microsoft Office suite, including SharePoint and Teams.

This role requires the successful candidate to maintain a Working with Children Check The successful candidate can apply for the WWCC as part of the onboarding process. - Previous experience with a broad range of complex administrative duties to senior research staff including managing complex travel arrangements, management of accurate records, coordinating meetings, and providing committee support such as drafting quality agendas, minutes and facilitating the follow up of action items.
- Well-developed time management skills with the capacity to determine priorities, meet deadlines and effectively balance competing demands and to work effectively under pressure both independently and as a member of a tea
