Ashgrove Meals on Wheels is seeking a compassionate and detail-oriented Administration Officer to join our dedicated team. This is a rewarding opportunity to play a key role in supporting the wellbeing of our community through the delivery of vital meal services.
The primary purpose of this role is to provide high-level administrative support to the Service Manager, Committee, clients and volunteers. You will play an integral role in maintaining smooth day-to-day operations, supporting client services, and ensuring efficient communication across the organisation.
Role and Responsibilities:
• Data entry of all clients’ menus into the Customer Relationship Management system, Polixen.
• Create daily meal labels and the daily meal summary for the kitchen staff
• Produce daily run sheets and prepare delivery baskets for the meal runs
• Provide support to our delivery volunteers as required
• Manage and produce the monthly client menus
• Record client payments and maintain collection records
• Update and maintain client and volunteer records in Polixen, including processing of Police checks for staff and volunteers
• Promptly respond to face to face, phone, email, or other service enquiries
• Communicate respectfully with all individuals including clients and their carers, staff, volunteers, and the community
• Provide administrative support to the Service Manager and other staff as required
• Assist with communication initiatives with clients, volunteers, and other stakeholders
• Identify and report to the Service Manager any area for potential improvement to operations
• Participate in Education and Training opportunities
• Adhere to all organisational policies, procedures, standards, and practices
• Undertake other duties as reasonably directed by the Service Manager and/or Management Committee
• Undertake the paid higher duties position of the Service Manager whilst they are on leave
Qualifications and Skills:
• Demonstrated administration experience, with attention to detail
• Knowledge and understanding of an aged care, not for profit and/or a member service focussed environment is desirable but not essential
• Strong organisational and time management skills, with the ability to work independently and as part of a team
• Strong communication, verbal and written and interpersonal skills
• Competent in Microsoft Office Suite, and ideally experience with a CRM system and MYOB
• Willingness to undertake a Police Check
