The Rockhampton Grammar School is seeking a passionate and skilled Full-Time Administration Officer to join our Boarding team where you will be responsible for strategic and operational administration of the Boarding Department as determined by the Director of Boarding.

POSITION TITLE: Administration Officer
DEPARTMENT: Boarding
CLASSIFICATION: School Officer Level 3
REPORTS TO: Director of Boarding
KEY DUTIES AND RESPONSIBILITIES
The Administration Officer is responsible for strategic and operational administration of the Boarding Department as determined by the Director of Boarding.
Duties will include assisting with:
Support the smooth and efficient operation of the boarding houses, with a strong focus on student welfare, administration, and overall coordination.
Work closely with the Boarding Leadership Team to support the safety, wellbeing, and personal development of boarders while contributing to effective residential operations.
Act as the first point of contact for boarding-related enquiries via phone, email, and in-person, providing timely and professional customer service.
Manage a broad range of administrative tasks, including document preparation, compliance tracking, data entry, and accurate record keeping using systems such as TASS and ORAH.
Provide administrative support for induction of new boarding staff, including managing related checklists and records
Coordinate scheduling, logistics, and communication for boarding-related activities, events, team meetings, and enrichment programs.
Arrange and manage travel logistics for boarding students, including liaising with families, transport services, and ABSTUDY where applicable.
Handle internal and external communications in co-ordination with the boarding team, including parent updates and newsletter content.
Liaise with internal departments (e.g. Catering, Transport, Finance) and external providers to support boarding operations and enrichment activities.
Assist the Facilities Hire Co-ordinator with the planning, coordination, and running of external hire school camps in Boarding facilities during school holiday periods.
Support the administration of boarding surveys and team meetings
Contribute to continuous improvement of boarding processes and practices.
Collaborate with the broader administrative team and assist other departments (e.g. Facilities, Food Services, IT, Finance, Transport) as needed.
Any other duties as directed by the Boarding Leadership Team.
REQUIRED SKILLS/KNOWLEDGE/EXPERIENCE
Outstanding interpersonal and communication skills, with demonstrated ability to build rapport and interact effectively with students, staff and parents;
A solution orientated person, with an ability and a desire to identify and bring about significant improvement and streamlining of processes, systems and record keeping;
Strong organisational and time management skills, with an ability to prioritise tasks, meet prescribed deadlines, and concurrently manage a number of competing tasks;
Demonstrated high-level computer skills and literacy, with skills in the MS Office suite of programs and an ability to deliver better service and efficiencies through the use of technologies;
An ability to comprehend, format and to articulate and present information accurately, quickly and logically;
Excellent attention to detail and record management skills;
Knowledge of TASS and ORAH is desirable.
REQUIRED LICENSES/CERTIFICATES
Working with Children Check (Blue Card);
Police Check;
Safeguarding Children Online Training Certificate;
Open Driver’s Licence.
SAFEGUARDING CHILDREN AND YOUNG PEOPLE

Maintain valid “working with children” documentation;
Undergo periodic “national criminal history record” checks;
Report to management any criminal charges or convictions you receive during the course of your employment that may indicate a possible risk to children and young people;
CONDITIONS OF EMPLOYMENT
The successful applicant will be subject to a “Working with Children Check and Criminal Records Check” where applicable. The School undertakes several screening processes to ensure the appropriate protection of children and young people in its care. This includes reference checks, identity checks qualification check and professional registration checks.
