Evolve Wellbeing Psychology is a respected, independent psychology practice based in Cleveland, serving the Redlands and greater Brisbane area for over a decade. We have recently expanded our reach to Ipswich. Rooted in nature and community, our calm, values-led practice supports over 15 team members—including psychologists, clinical professionals, and administrative staff.
We are seeking a standout Business Manager to take operational leadership of the practice. About the Role – Business Manager
This role goes well beyond typical practice management, while still requiring the core functions of running a busy psychology practice. You will take full responsibility for the business’s daily operations and strategic execution, reporting directly to the Director/Shareholder. You will lead a small but high-performing admin team, work closely with the Clinical Lead, and ensure that our systems, people, and services are running smoothly and strategically aligned.
This role is ideal for a commercially savvy leader who is systems-minded, values-driven, and confident in navigating the healthcare sector, with proven experience in HR, financial operations, stakeholder management, and business development support.
Key Responsibilities
Operational & Financial Leadership – Oversee day-to-day business operations, lead process improvements, manage budgets, financial reporting, Xero, payroll, banking, and cashflow.
Team Leadership – Supervise the administrative team, including direct oversight of the New Client Coordinator. Provide mentoring, performance management, and team development.
HR & Culture – Own the HR function, including recruitment, onboarding, policy development, performance conversations, and maintaining a respectful, safe, and positive workplace culture. Ensure all staff are onboarded properly and the business is compliant with WHS and employment requirements.
Business Development Support – Work collaboratively with the Clinical Lead and New Client Coordinator to draft BD plans, coordinate and support execution, and create structures that turn ideas into action.
Client & Referrer Experience – Oversee the full new client journey (via the New Client Coordinator), ensuring smooth onboarding, client satisfaction, and strong referrer relationships. Deepen existing referral relationships and identify opportunities for new referral pathways. Work with the Clinical Lead to drive performance on client satisfaction and retention.
Compliance & Risk Management – Ensure the practice meets all regulatory and industry standards, including strong knowledge and implementation of WHS obligations. Identify and mitigate operational risk. Proactively identify gaps in policies and procedures and take the lead role in drafting and implementing policies and procedures.
Stakeholder Management – Build and maintain strong relationships across clinical, administrative, and external stakeholder groups.
Systems Mastery – Become an expert in Zanda, our client data and business reporting platform, and oversee accurate, timely and insightful reporting and decision-making tools.
Technology & Processes – Manage the optimisation and integration of practice management tools including Zanda, Google Workspace, Dialpad and others.
About You
You’re a capable, confident leader with the emotional intelligence to work collaboratively and the decisiveness to drive outcomes. You understand how to balance compassion with accountability and know how to implement systems that support growth and service excellence.
Essential Skills & Experience
Extensive experience in business or practice management, preferably in allied health, medical, or NDIS-focused environments
Strong HR management experience, including recruitment, performance support, and policy development
Financial management capability, including budgeting, reporting, payroll, and use of Xero
Demonstrated experience improving operations, systems, and processes
In-depth understanding of WHS obligations and the healthcare compliance landscape
Strong written and verbal communication skills, with the ability to work across diverse teams and stakeholder groups. Exteme attention to detail would be highly valued
Experience coordinating or supporting business development initiatives
High digital literacy and willingness to master internal systems (especially Zanda)
Desirable Attributes
Experience managing new client journeys, referral networks, or marketing pipelines
Background in health, psychology, NDIS or a related industry
Experience using Zanda, Dialpad, and cloud-based collaboration tools
Existing reputation or relationships in the Redlands and/or Ipswich
