Our Client is seeking a dynamic and proactive Executive Assistant! This hands-on, high-impact role goes beyond traditional support—acting as a trusted partner to the CEO to drive operational efficiency, support compliance, and enable clear decision-making across hotels, teams, stakeholders, and owners.
Alongside strategic responsibilities, the EA also provides high-level personal support to help the CEO balance business and personal priorities.
Key Responsibilities
Executive & Strategic Support
Provide daily support to the CEO across business priorities
Manage a busy calendar, meetings, travel, and ensure the CEO is well informed
Handle email flow and act as a communication point for the CEO
Prepare agendas, briefing notes, and meeting follow-ups
Track deliverables, deadlines, and initiatives discussed in leadership meetings to ensure follow-through and accountability
Liaise with internal teams and external stakeholders
Operational & Administrative Support
Liaise with property teams, suppliers, and contractors to support ongoing hotel operations and to ensure business continuity
Assist in preparing reports, proposals, contracts, and internal communications
Maintain digital filing systems and streamline workflows
Assist with special projects and operational rollouts
Manage office needs, supplies, and IT coordination
Legal & Compliance Coordination
Track key dates and ensure regulatory obligations are met
Maintain records for licenses, insurance, and compliance across all properties
Liaise with legal advisors on contracts and regulatory matters ensuring the CEO has timely access to legal input
Manage sensitive information with discretion and professionalism
Strata & Owner Liaison
Manage relationships with owners and strata reps, ensuring professionalism and diplomacy
Respond to correspondence regarding property, maintenance, and compliance issues
Provide discreet support for personal and family-related matters
Prepare for AGMs, EGMs, and strata meetings, including documentation and decision tracking
Maintain accurate records of strata minutes, levies, and related communications
Personal Assistant Duties
Handle personal arrangements for the CEO (travel, appointments, household admin)
Coordinate personal and business schedules to optimise time and avoid conflicts
Provide discreet support for personal logistics, family-related matters, and lifestyle arrangements when needed
