About the Role
We’re looking for a Project Administration & Client Coordinator to work closely with our Project Manager as their right-hand person. This is a broad and varied role — you’ll be involved in every stage of a project, from qualifying new inquiries to coordinating schedules, managing documentation, and keeping all moving parts running smoothly.
You’ll be the first point of contact for many of our clients, helping them through our "Reno-Ready" process, organising consultations, and ensuring projects progress seamlessly.
Key Responsibilities
Client Contact & Lead Qualification – Manage new inquiries, answer calls, qualify potential clients, and guide them through our "Reno-Ready" process.
Project Setup & Scheduling – Create projects in our digital tools, book appointments, and coordinate consultation dates with the Project Manager.
Project Administration – Assist in preparing scopes and quotes, manage selections, appliance details, and other project requirements.
Document & Contract Management – Prepare and issue contracts, manage approvals, and finalise project details ready for sign-off.
Supplier & Service Coordination – Liaise with suppliers and service partners to confirm requirements and installation dates.
Invoice & Reconciliation – Check and approve incoming supplier and service invoices against project records, align with statements for end-of-month payments (payment processing handled separately).
Compliance & Quality – Maintain high standards of accuracy, organisation, and compliance across all project documentation.
What We’re Looking For
Strong organisation and attention to detail — you dot the i’s and cross the t’s.
Excellent communication skills, both written and verbal.
Ability to manage multiple projects and priorities at once.
Experience in administration or coordination roles (construction, building, or design industries highly regarded).
Interest or background in kitchen, joinery, or interior design (advantage but not essential).
