About the role
We are looking for someone who has significant administrative experience in a medical/health environment, in particular within psychology, psychiatry or healthcare.
Fundamentally, to be successful in this role you will be a warm, empathic, and highly detail oriented person who has a passion for going the extra mile to work as a team to support our clients and colleagues. You will work in a leadership role as part of a small administration team in our beautiful and comfortable home-based office.
The successful applicant will:
Answer a variety of client queries promptly via phone and email and support them to find their way to the right practitioner, program, or product.
Have an internal customer service ethic in the way you support colleagues (e.g. in our case our clinicians).
Process client payments, manage outstanding invoices and be responsible for practitioner billing and reporting each pay cycle.
Have an understanding of billing and rebates (Medicare, private health (using HICAPS), and third party payees - NDIS, DVA etc).
Have experience in managing accounts, reconciling banking in Xero, and fortnightly payroll/reporting.
Manage client bookings and Psychologist schedules (including at our satellite clinics and via Telehealth) using Powerdiary/Zanda.
Prepare client files in advance for the practitioners.
Help clients navigate their way to and park at the office, greet clients warmly as they arrive, and make them feel comfortable!
Be able to work before hours (7:30am – 9am) or after hours (5pm – 7pm) on some days, depending on client services team availability.
Help to manage the promotion and member support of our Transformation Support Community online program and other online offerings (e.g. via in-clinic promotional campaigns).
Be happy to provide PA support to the director and admin team (e.g. collecting and sending mail, picking up office supplies, and all the other little things that pop up!)
The successful candidate will possess the following attributes:

Excellent organisation skills and attention to detail and are a must.
Dedication to completing tasks effectively, efficiently and reliability.
A warm, positive, friendly, flexible and accommodating nature.
Excellent verbal and written communication skills.
Excellent time management skills and ability to prioritise tasks.
High level of computer literacy (relevant to Google Suite and the Mac-based office environment).
Experience in client services and support (including clients with mental health considerations).
Comprehensive working knowledge of HICAPS, Powerdiary/Zanda, and Xero (or proven ability to learn quickly!).
An interest in the psychology of eating, physical activity, weight and body image, and a desire to help the team on our mission to spread compassionate, evidence-based and innovative ideas with our clients, other health professionals, and society at large.
What we offer
We are looking to provide a full-time Practice Manager position (Monday to Friday). This role could even develop into a Business Manager role for the right applicant. Your hourly rate will be determined by qualifications, level of experience and demonstrated skills. As our working environment, with a close-knit home-based team, is quite intimate, we envision a short paid trial period to make sure we're a good fit!
