Our client is a privately owned building services engineering firm with offices in Melbourne, Sydney and Brisbane. From high-end residential dwellings to high-rise commercial and mixed-use developments, they deliver tailored mechanical, electrical and hydraulic engineering solutions across a diverse range of projects. With their head office in Richmond, this is a collaborative, professional team environment where your contribution will be valued.

About the Role
This is a full-time, in-office Administration Assistant role based at the Richmond head office. You will play a key part in keeping the office running smoothly, supporting the Office Manager, Finance Manager, Directors and wider team.

The role offers a mix of core administrative duties alongside exposure to areas such as finance, marketing, HR, and IT.

Responsibilities include:

  • Reception duties and general office administration
  • Preparing and formatting documents and fee proposals
  • Setting up new projects in internal systems
  • Submitting service authority and site information requests
  • Purchasing office supplies and coordinating deliveries
  • Organising staff events, lunches, and office social functions
  • Assisting with the company website and social media content
  • Providing basic IT support and liaising with external providers
  • Supporting other areas such as onboarding, training bookings, timesheets, and calendar/email management (depending on experience)

What Are We Looking For?
To be considered, you will need to show on your resume:

  • At least 2 years’ experience in an administration role
  • Strong document preparation and formatting skills
  • Confidence using office systems and learning new software
  • Prior experience in engineering, construction or property (highly regarded)
  • Familiarity with tools like Total Synergy, Xero, Squarespace or Canva (advantageous but not essential)
