Position Overview
We are seeking a proactive, tech-savvy, and highly organized Administrative / Personal Assistant to support our team with daily operations, customer service, and creative problem-solving. This role requires exceptional skills in Excel, AI tools, social media management, and a natural ability to think outside the box. You’ll be the go-to person for ensuring smooth workflows, improving systems, and helping our business grow.
Key Responsibilities
Administration & PA Support
- Manage daily administrative tasks, emails, calendars, and schedules.
- Prepare reports and presentations using Microsoft Office Suite
(advanced Excel skills essential).
- Handle correspondence and follow up on tasks with clients, suppliers, and team members.
- Organize and maintain digital and physical filing systems.
Technology & AI
- Use AI tools to streamline workflows, create content, and enhance productivity.
- Maintain and update spreadsheets, databases, and automation tools.
- Research and implement tech solutions to improve efficiency.
Social Media & Marketing Support
- Create, schedule, and post engaging content across social media platforms.
- Assist with marketing campaigns, email newsletters, and online advertising.
- Track and report on engagement and analytics.
Customer Service
- Provide friendly, professional, and efficient service to clients via phone, email, and social media.
- Handle inquiries, complaints, and feedback in a timely manner.
- Maintain strong relationships with clients and partners.
Organization & Project Support
- Coordinate small projects, deadlines, and team activities.
- Prepare meeting agendas, take minutes, and follow up on action points.
- Support directors in both professional and personal tasks where required.
Key Skills & Attributes
- Advanced Microsoft Excel skills (formulas, pivot tables, charts, automation).
- Experience using AI tools for content creation, data analysis, or process improvement.
- Strong social media management skills (Instagram, Facebook, LinkedIn, TikTok).
- Excellent communication and interpersonal skills.
- Highly organized with strong attention to detail.
- Creative thinker who can solve problems and propose new ideas.
- Ability to work independently and manage multiple priorities.
- Discretion and confidentiality in handling sensitive information.
Preferred Experience
- Previous experience in an administrative, PA, or office management role.
- Experience with project management tools (e.g., Trello, Asana, Monday.com).
- Basic graphic design skills (Canva, Photoshop) a bonus.
- Experience with ServiceM8 software.
